Mocean Dance, a professional contemporary dance company based in K'jipuktuk/Halifax, Nova Scotia, is seeking a new Finance and Operations Associate. The position is part-time, 20 hours/week, with a flex schedule and remote working possibilities. This position also includes optional comprehensive health benefits. 

The position is based in administrative and financial systems support for the company. The Finance and Operations Associate performs a number of essential and diverse tasks related to the organization’s day-to-day operations, financial management, as well as playing a support role with fundraising and development initiatives, and communications. 

The Finance and Operations Associate will be self-confident and highly organized with strong interpersonal, business communication skills, and show a positive attitude. An administrative professional with an arts or non-profit background, or an individual with a passion for the performing arts is ideal, but not required.

Responsibilities:

  • Maintain financial records, day-to-day bookkeeping and payroll (including CRA, WCB, T4, and T4A’s).
  • Oversee general financial management of organization including managing bookkeeping, monthly bank reconciliation, updating budget and expenditures, overseeing the year-end financial audit.
  • Provide administrative support including filing, maintaining records, processing charitable receipts.
  • Oversee the maintenance and development of Mocean’s database (Keela).
  • Provide support with database input and communications for all fundraising campaigns and events.
  • Organize all financial aspects needed for public event activities, such as coordinating ticket sales systems (i.e. eventbrite) and producing post event cash reports.
  • Support Board of Directors to successfully fulfill their governance and fiduciary responsibilities.
  • General operations tasks including checking mail, office email, and overseeing management of office and board meeting supplies.
  • Support and assist as required the Co-Artistic Directors, Board, and Contract Employees.

About the ideal candidate

  • 1-3 years working experience in an administrative or financial capacity, with a preference for event production, non-profit or arts and cultural sector experience.
  • Experience with Quickbooks Online and Wagepoint or other bookkeeping and payroll softwares.
  • Experience with database management, experience using Keela is an asset.
  • Comfort working with a range of computer and web-based tools including Google Suite and Freedcamp, etc. for collaborative work and adept at learning new technologies, digital platforms and software. Must have a high level of skill and comfort with Excel.
  • Systems and processes oriented, with strong organization and planning skills.
  • Highly organized and detail oriented, with an ability to multitask and understands how to prioritize.
  • Is a clear and effective communicator with strong written communication skills.
  • Ability to problem solve, embrace flexibility and versatility, be proactive and provide follow through, while working in a fast-paced, evolving environment.
  • Strong interpersonal, collaborative and relationship management skills with the ability to work in a small team environment and independently.
  • Understanding of equity and anti-oppression and applying these approaches to work
